Complaint/Grievance Policy

We are committed to maintaining a positive, respectful, and inclusive learning environment for all participants in our coaching education programs. We recognize that there may be occasions when concerns or grievances arise, and we are dedicated to addressing them in a fair, transparent, and timely manner.

Policy Guidelines:

  1. Informal Resolution: Participants are encouraged to first attempt to resolve concerns directly with the individual(s) involved, where appropriate and comfortable. Open and respectful communication can often lead to a mutually satisfactory resolution.
  2. Formal Complaint Submission: If the issue cannot be resolved informally, participants may submit a formal complaint in writing to the program director or designated contact person. The complaint should include a detailed description of the concern, relevant dates, and any supporting documentation.
  3. Acknowledgment and Review: Upon receiving a formal complaint, we will acknowledge receipt within five business days. The complaint will then be reviewed thoroughly and impartially by an appointed member of our team, who may request additional information or clarification from the complainant.
  4. Resolution Process: We aim to resolve all complaints within 30 business days of receipt. The resolution process may include meetings with the parties involved, mediation, or other appropriate actions to address the concern.
  5. Outcome Communication: The complainant will receive a written response outlining the outcome of the investigation and any actions taken. If the complainant is not satisfied with the resolution, they may appeal the decision in writing within 10 business days.
  6. Confidentiality and Non-Retaliation: All complaints will be handled with the utmost confidentiality, and no participant will face retaliation or discrimination for filing a complaint or grievance in good faith.

Partial Completion Policy

We understand that circumstances may arise that prevent participants from fully completing the coaching education program. To accommodate these situations, we have established a Partial Completion Policy to provide options for participants who are unable to fulfill all program requirements.

Policy Guidelines:

Eligibility for Partial Completion:

  • Participants who have completed at least 50% of the program’s coursework, assignments, or training hours may be eligible for partial completion status.
  • Participants must provide a written request explaining the reason for partial completion and submit it to the program director for consideration.

Assessment and Documentation:

  • The program director or designated faculty member will review the request, assess the participant’s progress, and determine eligibility for partial completion status.
  • Eligible participants will receive a document outlining the completed portions of the program, including training hours, assignments, and competencies covered.

Program Credit and Future Opportunities:

  • Participants granted partial completion status may be eligible to receive credit for the portions of the program they have completed. This credit may be applied toward future enrollment in the same program or another related program within a specified period (typically 12 to 24 months).
  • Any additional fees or requirements for completing the remaining portions of the program will be determined based on the program’s current policies at the time of re-enrollment.

No Certification for Partial Completion:

  • Participants who do not complete the entire program will not receive a certification or designation associated with full program completion. Partial completion does not guarantee a certificate of completion or the right to represent oneself as a certified coach from our program.

Refund Policy:

  • Any requests for refunds will be handled in accordance with our standard refund policy. Partial completion may impact the eligibility for a refund, and any refunds due will be calculated based on the percentage of the program completed.

Appeal Process:

  • Participants may appeal the decision regarding their partial completion status by submitting a written appeal to the program director within 10 business days of receiving the decision.

We are committed to supporting our participants and providing flexible solutions when needed, while maintaining the integrity and quality of our coaching education programs.


Payment and Fees Policy

To ensure clarity and transparency regarding payment and fees for our coaching education programs, we have established the following policy. This policy outlines the requirements, deadlines, and terms for all participants.

Policy Guidelines:

Payment Schedule:

  • All program fees must be paid in full or according to an agreed-upon payment plan before the start date of the program.
  • Payment plan options, if available, will be provided at the time of enrollment. Participants must adhere to the specific due dates outlined in their chosen payment plan.
  • Late payments may incur a fee of 10% of the amount due and could result in suspension of access to program materials and sessions until the outstanding balance is resolved.

Accepted Payment Methods:

  • We accept payments via credit card, debit card, bank transfer, or other methods specified at the time of enrollment.
  • All payments must be made in US Dollars.

Refund Policy:

  • Participants may be eligible for a partial refund if they withdraw from the program before a specified deadline. The amount refunded will depend on the date of withdrawal and the percentage of the program completed.
  • No refunds will be issued after 10% of the program has been completed or after 20 days from the start of the program, whichever comes first.
  • To request a refund, participants must submit a written request to the program director. Approved refunds will be processed within 30 business days.

Non-Refundable Fees:

  • Certain fees, such as registration fees, administrative fees, and materials fees, are non-refundable unless the program is canceled by us.
  • Any bank charges, transfer fees, or other payment-related fees are the responsibility of the participant and are non-refundable.

Cancellation Policy:

  • In the unlikely event that we need to cancel a program, participants will be notified as soon as possible and will receive a full refund of all fees paid.
  • If a participant is unable to attend a program after enrolling, they may request to transfer their enrollment to a future program date within 12 months, subject to availability and approval.

Financial Aid and Discounts:

  • We offer a limited number of financial aid opportunities or discounts to qualifying participants. Eligibility criteria and application procedures will be provided upon request.
  • Any discounts applied are only valid for the original enrollment and cannot be transferred to other programs or participants.

Responsibility for Payment:

  • By enrolling in our program, participants agree to be responsible for the full payment of all fees and costs associated with their enrollment, regardless of their level of participation or completion of the program.

Dispute Resolution:

  • Any disputes regarding fees, payments, or refunds must be submitted in writing to the program director within 30 days of the disputed charge. We will review and respond to all disputes promptly.

  • Tuition Fee: $5,000

    This fee is applicable upon successful completion of the program and covers the issuance of the official coaching certification.

Additional Fees:

  • Late Payment Fee: 10% of amount due
    A fee charged for any payments not received by the specified due date.
  • Transfer Fee: $100
    A fee charged for transferring enrollment to a different program date or cohort.
  • Re-Enrollment Fee: $200
    A fee for re-enrolling in the program after withdrawal or partial completion.
  • Replacement Certificate Fee: $100
    A fee for issuing a replacement certificate if the original is lost or damaged.

Optional Fees:

  • Extended Payment Plan Fee: 10%
    A fee applied if you choose to use an extended payment plan beyond the standard options.
  • Supplementary Coaching Sessions: $300/hr
    Optional one-on-one coaching sessions with instructors to enhance learning and provide personalized support.

Financial Aid and Discounts:

  • Early Bird Discount: 15% off the total tuition fee.
  • Group Enrollment Discount: 10% off per participant for groups of 5 or more.
  • Scholarships/Financial Aid: Limited scholarships or financial aid are available to qualifying participants. Please inquire for details and application procedures.

Payment Options:

  • Full Payment: Due at the time of enrollment to secure your spot.
  • Payment Plan: Option to pay in 6 installments, with the first payment due at enrollment. Remaining payments are due by the start of the module.

Refund Schedule:

  • Before Program Start: 80% refund of tuition fee if canceled 10 days before the program start date.
  • After Program Start: No refunds are issued after 20 days from the program start date.

Refund Policy

We understand that circumstances may change, and participants may need to withdraw from our coaching education program. Our refund policy is designed to be fair and transparent, providing clear guidelines for refunds based on the timing of the withdrawal.

Policy Guidelines:

Refund Eligibility:

  • Refunds are available for participants who submit a written request to withdraw from the program within the specified timeframes outlined below.
  • All refund requests must be submitted in writing to the program director at info@lajollaholisticcenter.com

Refund Schedule:

  • Before Program Start Date:
    • Full Refund: 100% of the tuition fee will be refunded if a written request is received at least 15 days before the program start date.
    • Partial Refund: 80% of the tuition fee will be refunded if a written request is received within 10 days of the program start date.
  • After Program Start Date:
    • 80% refund of the tuition fee if a written request is received within 20 days after the program start date.
    • No refunds will be issued after 20 days from the program start date or after 10% of the program has been completed, whichever comes first.

Non-Refundable Fees:

  • The following fees are non-refundable:
    • Registration Fee
    • Materials Fee
    • Any administrative or processing fees
    • Late Payment Fees
  • Participants who receive a partial refund will be refunded only for the refundable portion of the fees paid.

Program Cancellation:

  • In the unlikely event that we cancel the program, all participants will receive a full refund of all fees paid, including non-refundable fees.

Special Circumstances:

Processing Refunds:

  • Approved refunds will be processed within 30 business days of receiving the written request.
  • Refunds will be issued using the original payment method whenever possible. Any applicable bank charges or transaction fees will be deducted from the refund amount.

  • If a participant is dissatisfied with the outcome of their refund request, they may submit an appeal in writing within 10 business days of receiving the decision.

Transfer of Credit Policy

We understand that participants may wish to transfer credits from our coaching education program to another program or institution, or may seek to apply previously earned credits to our program. Our Transfer of Credit Policy is designed to provide clear guidelines for these situations.

Policy Guidelines:

Eligibility for Credit Transfer:

  • Participants who have completed coursework or training hours in an accredited coaching education program may be eligible to transfer those credits to our program.
  • To qualify, the credits must have been earned within the past 2 years and must align with the content, learning outcomes, and competencies of our program.

Transfer Request Process:

  • Participants seeking to transfer credits must submit a written request to the program director, including:
    • Official transcripts or certificates from the previous program.
    • A detailed syllabus or course description for each course or module for which credit is being requested.
  • All requests must be submitted at least 30 days before the start of the program.

Evaluation of Transfer Credits:

  • The program director, in consultation with the academic team, will evaluate the submitted documents to determine if the credits meet our program’s requirements.
  • A decision will be communicated in writing within 10 business days of receiving the request.

Limitations on Credit Transfer:

  • A maximum of 50% of the total program credits may be transferred from another institution.
  • Credits that do not meet our standards for content, quality, or learning outcomes will not be eligible for transfer.
  • Only credits earned from accredited institutions or recognized programs will be considered.

Transfer of Credit to Other Institutions:

  • Participants wishing to transfer credits from our program to another institution should contact that institution directly to inquire about their transfer policies.
  • We will provide transcripts, syllabi, and any other required documentation to support participants in this process, but we cannot guarantee that credits will be accepted by another institution.

Fees and Processing:

  • A non-refundable processing fee of $50 may apply to evaluate and process the credit transfer request.
  • Approved transfers may require additional administrative steps or conditions as communicated by the program director.

No Guarantee of Credit Acceptance:

  • Acceptance of transferred credits is at the sole discretion of the receiving institution or program.
  • We reserve the right to make the final determination on whether credits are eligible for transfer into our program.

Illness Policy

We understand that illness can impact a participant’s ability to fully engage in our coaching education programs. Our Illness Policy is designed to provide flexibility and support for participants who may need to temporarily step away from the program due to health concerns, while ensuring that the program’s learning objectives and standards are upheld.

Policy Guidelines:

Notification of Illness:

  • Participants who are unable to attend scheduled sessions or meet program requirements due to illness must notify the program director as soon as possible.
  • Notification should be made in writing via email, including a brief description of the illness and the anticipated duration of the absence, if known.

Medical Documentation:

  • For absences longer than 15 days or for significant interruptions to program participation, participants may be required to provide a medical certificate or documentation from a licensed healthcare provider.
  • This documentation should verify the need for absence and may be used to determine eligibility for accommodations or extended leave.

Accommodations for Illness:

  • Reasonable accommodations will be made for participants affected by illness, such as:
    • Extended deadlines for assignments or assessments.
    • Access to recorded sessions or supplemental materials.
    • Temporary suspension of program participation, with the opportunity to rejoin the program at a later date within a specified timeframe (typically 12 months).

Prolonged or Severe Illness:

Refunds Due to Illness:

  • If a participant is unable to continue the program due to a serious illness and wishes to withdraw, they may request a partial refund in accordance with our Refund Policy.

Confidentiality:

Return to Program:

  • Participants returning to the program after an illness must inform the program director at least 5 days in advance.
  • A return-to-program plan will be developed, including any needed support to ensure a smooth transition back into the program.

  • Our marketing efforts will respect the dignity, rights, and diversity of all individuals. We will avoid language, images, or content that may be discriminatory, offensive, or insensitive to any group based on race, ethnicity, gender identity, sexual orientation, age, disability, religion, or other protected characteristics.
  • We will promote our programs in a manner that is inclusive and accessible to all, ensuring that our messages reflect our commitment to diversity, equity, inclusion, and justice (DEIJ).

Accuracy of Testimonials and Endorsements:

  • All testimonials, endorsements, and success stories used in our marketing will be authentic, obtained with the explicit consent of the individuals involved, and accurately represent their experiences.
